The OSD Internal Compliance Application can play a valuable role in helping your organizations Compliance Team support internal compliance by ensuring that the latest and most accurate guidelines and rules are available and by eliminating redundant or obsolete controls and improving workflow.
The OSD Internal Compliance Application enables an organization to refine their financial controls, improve the management of customer risk, protect their reputation, enable sustainable development, maintain regulatory compliance, and enhance corporate governance.
The OSD Internal Compliance Application is an electronic database of regulatory compliance requirements that will;
- Allow all your registered organization users to search the database to learn about organization compliance requirements.
- Allow the Compliance manager to manage and monitor the control measure and risk-assessment for each regulation
- Generate an enterprise compliance calendar with alerts and notifications for all parties.
- Set up job notification to automatically get matching jobs by email.
- Allow a means for departments to request changes to various items.
- Facilitate enterprise-wide communications and updates related to compliance.
Access control rights for the OSD Internal Compliance Application are controlled by the your Compliance system administrator who will allocate user and departmental access rights.
There will be 4 types of Users;
- User: Search and view all regulations, view control measures, etc.
- Power User: Responsible person from a department, their delegate and Dept head can view and update. Power users and >super users can request changes to data and this should notify the administrator.
- Super User: Heads of Departments and Senior Mgmt can view all.
- Administrator: Can make changes (Risk & Compliance users only). Administrator is the only one who can make changes.
Rules
- The OSD Internal Compliance Application supports separate records for the same rule (e.g. if the responsibility for the rule is split between two departments with different sets of control etc, or if the controls / person responsible differ between different division/departments. In addition, each rule record identifies the existence of the other.
- Rules may be categorized at two levels by division and then department within a division. Allowing the system to be used across the entire Enterprise.
Risk Assessment Matrix & Reporting
- For each Rule the Administrator adds a Risk Assessment. This Risk Assessment is calculated based upon a combination of two indicators which are stored in two fields as a numerical value. The first indicator is the expected Likelihood of an event occurring related to that Rule. The second indicator is the expected consequences of the event should it occur
The combination of the two shall give a Risk Assessment Value which is stored as number and also displayed as a colour code indicator against that rule, for example the combination of a Value 5 for High Likelihood with a value of 1 for low consequences might produce a total score 6.
- In addition to adding indicators for Likelihood and Consequences the Administrator may add an action, frequency and date.
- If a date and/or frequency is entered against the Rule, then the respected action will either automatically be triggered, in the case of send email, or will appear on the calendars of both the Department and the Administrator to enable them to monitor the action.
- The Administrator is able to enter the expected outcome of various combinations in order to meet Risk Assessment Tracking Requirements.
- The Administrator is able to select the item and confirm the action is complete. In this case the action will no longer appear on the respective calendars.
- The Administrator is able to request various reports based upon department, rules, dates Risk rating etc. at anytime. For example, they may wish to see all High Risk Rules for a particular department with actions due between selected dates.
History of changes
- The system tracks versions of each rule. Any changes or amendments to the rule are stored and the version number updated.
- The system includes an audit trail for all fields in the rules database and captures the last user and date and time of update.
- The Administrator is able to archive a rule and create a new rule in its place.
Calendar
The system features a calendar module which indicates all time based compliance requirements and monitoring schedules.
- Normal users will not have access to the calendar.
- Power users see their departmental calendar items.
- Super users and Administrators see all calendar items.
- Items to be sent to the calendar will be selected by the Administrator.
- Any scheduled activities that have not been carried out send an alert to the compliance officer and to a departmental manager as defined in the rule configuration module and Risk Assessment Module.
Search
- The system features both a basic quick search and an advanced search that queries all data fields.
- The system allows the user to search and retrieve from archived rules in addition to current rules.
Announcements
- The Administrators Home Page Message section, enables them to make announcements on the system. The announcements appear on the Home Page as users log on.
- The Announcements can be generic (viewed by all) or targeted (target audience as selected by the Administrator).
